Are there any important dates that I should remember?

July 16, 2025 Commitment Deadline!
July 20, 2025 Submission Deadline: Logo, Program Ads, Sponsor Videos ($7500 & $5000 Levels Only)
August 1, 2025 Submit Registrant Information, Including Name, Email Address, Type of Attendee (Exhibit Booth, Attendee, Both), Dietary restrictions, Necessary ADA accommodations
August 6-7 2025 Gateway Conference on Philanthropy - Fundraisers' Legacy: 50 Years of Relationships, Resilience & Results
Note that exhibit booths are only accessible on August 7,  but sponsor registrants are welcome to attend programming on Wednesday.

As a sponsor, how many registrant attendees come with my package?

As a sponsor, when do I need to submit all registrant information? How should I do that?

Please submit all registrant information by August 1, 2025 though our Sponsor Registrant Form or by emailing [email protected]

Please include the registrant's first and last name, as well as their organization, email address, and any food restrictions or ADA concerns. 

Can my registrant attend the programming on Wednesday?

Absolutely!

My sponsorship includes an ad in the Program Book. What are the ad sizes?

My sponsorship includes a sponsor video to be shown before the morning keynote. What is the submission deadline?

Please submit these no later than July 20 via email, to [email protected].

Is there a hotel option for sponsors who will need to travel?

The conference committee recommends the following nearby hotel:

What is the set-up time for sponsor exhibits?

Exhibit booth setup will take place between 6:00-7:00 AM on August 7. Please finish setup no later than 7:30 AM, when the conference attendees will begin to arrive.

Where are sponsor exhibit booths located?

Sponsor booths are located within the Clark-Fox Forum, near the Atrium within Hillman Hall.

What is the size and type of table and drape provided in each exhibit booth?

Tables in each exhibitor's location are 6' x 30" with a white tablecloth and black skirt. Displays cannot exceed the width of the booth.

Are there guidelines for appropriate booth display?

All sponsors should consider the following guidelines when setting up their booth:

  • Make your booth stand out. An eye-catching booth attracts more traffic.
  • Have a way to collect names. The Conference does not supply attendee contact lists.
  • Giveaways always attract more traffic.
  • Do not block the aisles or neighboring exhibitors.
  • No signage is allowed on convention walls.
  • No flashing lights, helium balloons, glass containers, P/A systems or music boxes, glitter or confetti are allowed. 

Will there be internet access?

Yes, guest WIFI is available to exhibitors.

Will the booth be equipped with electricity?

There is limited access to outlets. Please prioritize your needs and bring extension cords if needed.

Should an exhibitor provide a door prize?

This is entirely up to you. Everyone knows the giveaways and door prizes attract attendees to your booth and this is a very easy way to collect business cards and contact information. During the last break of the conference, the Conference Committee will announce the winner of the drawing hosted by the conference, at this time you can draw from your container and we will announce the winners of your prize. Door prizes can be items from your company, a gift card to a restaurant or event, or a MasterCard/Visa/ Amex gift card.

Are meals included with the sponsorship fee?

Yes, sponsor attendees are invited to join us for meals with other registrants. Sponsors are allotted up to ten tickets depending upon the sponsor level.

What time should sponsors break down their booths?

Conference Programming ends at 4:30 p.m. Please do not break down your exhibit until after 4:30 p.m.
